Customizing email templates

Technical Contacts and Organisation Administrators can customise the Hub-generated email sent on behalf of their organisation. This includes uploading an organisation logo and editing the shared HTML template used for invitations, reminders, status updates, and other Hub messages.

Open the template settings

  1. Sign in with an account that can manage your organisation.
  2. Open Settings > Customize Email.
  3. Use Logo to upload a .jpg or .png organisation logo.
  4. Use Template to edit the shared email template.

A logo that is about 127 pixels high fits the default Hub email layout well.

Edit the template

On the Template page, enable Email template enabled to use an organisation template. Select Prefill to load the default Hub HTML, then adjust that markup for your local branding and wording.

Every active template must include either {MESSAGE} or {INCLUDED_URL} so recipients can respond to invitations and status updates.

Template field Description
{SUBJECT} Default subject customised for the message purpose, such as affiliation, funding, works, and peer-review email.
{MESSAGE} Default core message customised for the message purpose.
{INCLUDED_URL} URL used for invitations and status updates. It is already included in message bodies that need it.
{LOGO} Uploaded organisation logo, or the default Hub logo when no organisation logo has been uploaded.
{EMAIL} Recipient email address.
{BASE_URL} Base URL for the Hub instance.

Test and save

Use Send to email yourself a test message with the current template. When the message looks right, select Save so future Hub-generated messages use the new template.

To return to the default Hub styling, turn off Email template enabled.
